I need a straightforward system that lets us follow every 5-gallon / 20 L bottle from the moment it leaves our factory until it comes back again. Each container already carries a permanent QR code such as “BTL-000127”, so the job is to capture those scans and turn them into clear, actionable data.
Scope of work
• Web dashboard – a browser-based control centre where I can see, at a glance, where every bottle is, which customer it is linked to, its full scan history, and any units that are overdue, lost, or marked damaged.
• Mobile application – the drivers’ tool for scanning and assigning bottles while they are on the road. This must run on both iOS and Android, work with the phone’s camera QR reader, and allow quick offline capture that syncs when connectivity returns.
• Authentication – simple email-and-password sign-up / log-in for admins, warehouse staff, and drivers. No social logins or SSO required right now.
Core functions
– Scan-to-assign: driver scans a bottle, chooses the customer, records the delivery time automatically.
– Scan-to-return: on collection, another scan brings the bottle back into factory stock.
– Live status: every bottle shows one of three places—factory, with customer, or lost/damaged—with automatic counts per customer.
– History trail: complete timeline of every movement for audit or warranty checks.
– Overdue alert: configurable period (e.g., 30 days) after which unreturned bottles appear in an “overdue” list.
– Reporting/export: quick view or CSV download of customer balances and outstanding bottles.
Deliverables
1. Web app codebase and deployed instance (cloud or on-prem, your guidance appreciated).
2. iOS and Android builds ready for TestFlight / Google Play internal testing.
3. Database schema and API endpoints that power both fronts.
4. Short admin manual and a five-minute video walkthrough so staff can pick it up immediately.
Acceptance criteria
A randomly picked bottle can be scanned out, show under the chosen customer on the dashboard, then scanned back in and re-appear in factory stock—all without manual edits. Overdue logic must flag a test bottle left “with customer” past the defined threshold.
I am open to the tech stack you feel is most efficient—as long as it is mainstream, supports QR scanning reliably, and can grow with added features later. Let’s keep the interface clean, the workflow fast, and the setup uncomplicated.
