Project title: Simple Student Management and Automation System for a Music Teaching Studio
I run Leah Cassar Voice Production (LCVP), a music teaching studio in Camden, NSW, Australia. We offer singing, guitar and piano lessons with multiple teachers.
I am seeking quotes to develop a simple, user-friendly online system exclusively for LCVP. I do not intend to sell the software to other businesses.
Much of our administration is currently manual. I want to keep student records digitally, reduce repetitive tasks and allow authorised staff to manage everyday administration.
I liked the clarity and ease of use of Classcard during a demonstration. I want similar practical functionality with an original interface, tailored to my studio.
Initial focus:
1. Automating the enquiry-to-booking process:
- An enquiry form linked from or embedded into our existing Wix website, collecting student details, instrument, experience and preferred times.
- Enquiries should appear in a dashboard with stages such as: New enquiry → Contacted → Availability offered → Awaiting enrolment/payment → Enrolled or closed.
- Editable, personalized email templates and automations for immediate enquiry acknowledgement, sending availability after staff approval, enrolment link/payment instructions, welcome email after enrolment confirmation, and follow-up after the first lesson.
- FAQ section to address common questions.
- Centralized lead management from social media platforms into one source.
2. Digital student and family records:
- One searchable record for each student including name, date of birth, contact details, enrolment date, parent/guardian details where applicable, linked family accounts for siblings with separate records, instrument/teacher/lesson details, goals/experience/progress notes, attendance history, enrolment status (enquiry/waiting list/active/withdrawn), accepted studio terms with date/version recorded, invoices/payments/outstanding balances, relevant documents and optional consent information.
- Spreadsheet import/export functionality with duplicate detection.
3. Scheduling and teacher allocation:
- Clear daily/weekly calendars filterable by teacher.
- Recurring weekly private lessons (usually 30 minutes).
- Configurable school terms/holidays/studio closures.
- Available lesson spots/waiting list management.
- Conflict prevention for teachers/rooms.
- Teachers can view their timetable and record attendance/lesson notes; admin can manage schedules across the studio.
4. Ownership and security:
- Secure individual logins with appropriate protection of student information.
- Automated backups/documented restoration process.
- Full access to data/usability exports; ownership of custom code/design once paid; disclosure of third-party software/licenses/restrictions; hosting/domain/service accounts under my control; source code/deployment instructions/documentation for maintenance by another developer.
