Key Responsibilities Research and Reporting Conduct thorough research on topics as directed by the CEO, including but not limited to business-related subjects, service providers, and logistical options.
Gather and analyze information on flights, hotels, venues, and transportation options for both work-related and personal activities.
Present findings in cohesive and organized formats such as summaries, tables, and reports, highlighting comparisons and recommendations.
Compile and prepare executive briefs, background notes, and reference materials for meetings or upcoming engagements.
Ensure accuracy, clarity, and consistency in all written outputs and presentations.
Expense and Financial Coordination Track, organize, and reconcile business and personal expenses related to the CEO’s activities.
Validate receipts, invoices, and reimbursements in coordination with the Accounts Department.
Prepare periodic expense reports and ensure they are complete and compliant with company standards.
Maintain clear documentation of all financial transactions.
Anticipate expense requirements for upcoming travel and engagements.
Travel Management Plan and coordinate domestic and international travel, including flights, accommodations, visas, and transportation.
Research and recommend best-value options that balance convenience, cost, and time efficiency in line with the CEO’s preferences.
Prepare complete travel itineraries and ensure real-time updates for any changes.
Coordinate related logistics such as meeting schedules, local transfers, and reservations.
Maintain an organized record of all travel-related arrangements and costs.
Executive Coordination Coordinate closely with the Executive Office for CEO’s calendar, personal and work activities, to maintain visibility and avoid scheduling overlaps.
Collaborate with the inter-company departments on special project execution, as directed and as necessary.
Provide support on personal and administrative projects as assigned.
Other relevant tasks that may be assigned.
Relationship and Culture Stewardship Represent the CEO with professionalism and discretion in all interactions.
Contribute to a culture of clarity, accountability, and mutual respect.
