Maintain marketing contacts, perform research, and increase sales through marketing initiatives. Schedule and review podcast opportunities The AA supports the administrative needs of eCouncil through note taking, preparation of meeting agendas, handling phone calls, managing database, etc.,as needed. Responsibilities: General Admin Support • Handle Inbound English and/or Spanish / Portuguese calls, as needed and directed
o Speak in courteous and professional manner
o Create a KVCore contact for the inbound caller if one does not already exist
o Take notes regarding the discussion of the call in KVCore
o Notify parties, as appropriate, via email
• Make outbound cold calls and follow-up calls to prospective referral sources and clients (Engllish and/or Spanish and Portuguese)
o Speak in a courteous and professional manner
o Create a KVCore contact of the outbound caller if none already exists
o Take notes regarding the discussion in KVCore
o Notify the appropriate persons via email or KVCore re: outcome of the call
o Follow Up with each contact as necessary
o Schedule meetings with Nicole, Lauren, etc.
• Research contact information for vendors via the internet, telephone, and other necessary means
o Create a KVCore contact for the vendor if none already exists
o Place found information in KVCore
o Follow up as appropriate and/or as directed by President
• Research contact information for prospective clients and Realtors
o Notify President via email regarding new information obtained
o Follow up as directed by President
• Participate in weekly (and other designated) eCouncil meetings
o Prepare Agenda, in conjunction with the Project Manager for President to review at least two (2) days prior to the meeting
o Send the Agenda to all participants at least one (1) day prior to the meeting
o Take notes at the meeting
o Post the notes to TeamWork Operations folder, titled in accordance with eCouncil policies/procedures
o Notify, via TeamWork, the President and Project Manager that the notes have been uploaded
• Update KVCore with new or modified contact information as acquired from networking, LinkedIn, other social media, etc. and as provided
o Ensure name, email address, company, and phone number are included
o Ensure the type of Lead Source is filled in appropriately
o Upload information when cc’d or bcc’d on emails, etc. as delivered by President or others
o Set up appropriate follow-ups on KVCore; send daily lists to President with short description of each contact, etc.
• Update KVCore as appropriate
o Add new or modify email addresses following delivery of the Newsletter
o Add new or modify email addresses as acquired from various sources
• Send calendar invites for all meetings, on behalf of President, unless otherwise advised (may be automated through Calendly)
o Ensure correct participants and correct email addresses are used prior to sending out invites
o Set up automatic 24-hour and 30-minute reminders for all participants (should be automated in calendly)
o Utilize Doodle Poll if appropriate or instructed
• Send to President information on meetings in calendly
o Email President details about the person she is meeting with or has a call with
o Remind President where they met
• Perform appointment services, but only at President’s request
o Call appointments to verify that they have not forgotten
o Cancel and/or Modify appointments as appropriate
