I run a small CPA firm and need an experienced systems thinker to examine and refine three core areas: client onboarding, the tax-preparation process, and the way we store and track client files.
Where I feel the most friction is the beginning of the relationship. I want a smooth, repeatable path that tracks every prospect and client from initial contact through engagement letters, document collection, deadline monitoring, missing-information follow-ups, and final delivery—without anything falling through the cracks. At the moment our trackers are a mix of spreadsheets, email threads, and shared folders; I’d like to replace or consolidate them into a cohesive workflow that gives at-a-glance status on every return.
The engagement also extends to the preparation phase itself. I need fresh eyes on how returns move between team members, what checkpoints we should formalize, and how best to log reviewer notes so that nothing is re-worked twice. The same review should cover our digital filing structure and naming conventions so anyone on the team can find prior-year work papers instantly.
What I expect from you:

• An implementation roadmap with clear milestones and success metrics
