Social Media, Podcast & Outreach Coordinator — Brain Health and Mental Healthcare
We are seeking a highly organized and proactive Social Media, Podcast & Outreach Coordinator to support Accumind Brain Institute and Precise Mind Reports.
This is primarily a coordination, publishing, tracking, and engagement position—not a content-creation position. Our team will provide the core messaging, branded materials, educational content, and subject-matter expertise.
We need someone who can organize our materials, publish them consistently, coordinate and record podcasts, engage with our audiences, conduct outreach, and track results.

Primary Responsibilities
Social Media Management
• Maintain and manage our social-media calendar
• Organize content and materials provided by our team
• Schedule and publish approved content across LinkedIn, Instagram, Facebook, YouTube, and other selected platforms
• Ensure posts are published correctly, consistently, and on schedule
• Apply provided captions, hashtags, links, graphics, and calls to action
• Perform light formatting or resizing when necessary for different platforms
• Monitor comments, messages, mentions, and audience activity
• Respond to routine engagement using approved guidance
• Escalate clinical questions, complaints, media inquiries, or sensitive messages to the appropriate team member
• Track reach, engagement, clicks, inquiries, and other agreed-upon performance measures
• Prepare a concise weekly activity and performance report
Podcast Coordination and Recording
• Manage the podcast calendar and production schedule
• Coordinate recording dates with hosts and guests
• Send invitations, confirmations, reminders, consent forms, and recording instructions
• Set up and manage remote podcast recording sessions using Riverside, Zoom, or a similar platform
• Attend recording sessions and manage the technical recording process
• Confirm audio, video, microphones, internet connections, and recording quality before each session
• Save, label, organize, and securely maintain podcast files
• Coordinate editing and final approval with our designated editor or production resource
• Upload approved episodes to YouTube and selected podcast platforms
• Add provided episode titles, descriptions, show notes, links, and promotional materials
• Manage podcast comments, questions, and audience engagement
• Track episode performance, audience growth, downloads, views, engagement, and inquiries
• Follow up with guests after episodes are published and provide promotional links and materials
Outreach and Relationship Management
• Identify relevant podcasts, media opportunities, referral partners, and collaboration opportunities
• Contact potential podcast guests and invite them to participate
• Pitch Dr. Maulik Trivedi and other approved representatives as guests on relevant podcasts
• Conduct outreach to therapists, psychologists, pediatricians, schools, universities, employers, athletic organizations, and other approved partners
• Use messaging and templates provided or approved by our team
• Send professional follow-ups and maintain consistent communication
• Track every contact, response, follow-up, meeting, and outcome
• Maintain organized outreach lists in our CRM, spreadsheet, or project-management system
• Help coordinate introductory meetings, webinars, podcast appearances, and partnership conversations
This Role Does Not Primarily Require
• Developing our overall marketing strategy
• Writing clinical or educational content from scratch
• Creating advanced graphics or brand designs
• Making decisions about clinical messaging
• Providing medical advice through social media
• Developing new brand positioning without approval
• Managing paid advertising unless separately agreed upon
The coordinator may perform light formatting, platform adaptation, or administrative editing, but the company will provide or approve the core content.
Ideal Candidate
• Experience managing social-media publishing and engagement
• Experience coordinating and recording remote podcasts
• Strong organizational and follow-up skills
• Experience with professional outreach, podcast booking, referral development, or public relations
• Excellent written and verbal English
• Comfortable communicating with healthcare professionals, business leaders, educators, and podcast guests
• Able to manage multiple calendars, platforms, deadlines, and follow-up activities
• Comfortable using tools such as Canva, Metricool, GoHighLevel, ClickUp, Riverside, Zoom, Descript, YouTube Studio, or comparable systems
• Experience with healthcare, mental health, wellness, education, or medical technology is strongly preferred

Initial 30-Day Deliverables
• Organize the existing social-media content library
• Establish a reliable posting and approval workflow
• Maintain an accurate 30-day publishing calendar
• Publish all approved social-media content on schedule
• Monitor and manage comments, messages, and engagement
• Establish a podcast guest and recording calendar
• Coordinate and manage at least one complete podcast recording
• Develop a tracker for podcast prospects, guests, episodes, and results
• Develop a tracker for partnership and referral outreach
