If they don't give written, ask them that you want to record them saying their reason and take their details like name designation contact etc. If both isn't possible, just take their details like name of person whom you met, their designation, contact, or their visiting card.

[22/09, 10:42 am] Shafaq zakir: Please follow these instructions carefully for every verification visit:

1. Geotagged photos are mandatory. (I will share an example photo for reference.)

2. Before leaving, check that the form is properly filled. Make sure the designation and employment start and end dates are mentioned.

3. Collect at least one contact person’s details (name and phone number) in case we need to call for any query.

4. Take a photo of the signboard. This is very important. If there is no signboard, ask them about it.

5. If they refuse to provide verification, ask them to give a written procedure explaining how they will handle the verification.

6. If they completely refuse to provide any verification, ask them to give a written refusal.

Steps for Site Visit:

1. First, visit the organization and ask to meet the HR Department or any higher authority.
2. Introduce yourself and inform them that you are there for verification purposes of the candidate who was employed at their organization.
3. Explain that the candidate has applied to DataFlow for verification, and DataFlow has authorized and sent you to collect the verification from them.
4. Request the HR department to provide the verification.
5. Inform them that they may confirm directly with the candidate if they have any concerns about providing the verification.
6. The candidate is already aware that their verification is being conducted and has given consent for this process.

Instructions for Site Visit – If Issuing Authority is Not Available:

If the issuing authority is not present at the location, please follow these steps:
1. Geo-tag 360° Video: Stand at the exact location and record a complete 360° geo-tagged video. Ensure the video clearly shows the time, date, coordinates, and location details.
2. Photos of Nearby Businesses: Take geo-tagged pictures of any two businesses located near/around the site.
3. Collect Details: Get their contact numbers and ask them about the Issuing Authority (IA). Note down all details/information they provide about the IA.
4. If No Businesses Present: In case there are no businesses nearby, speak to any residential people available at or around the location. Collect their information and ask them about the Issuing Authority. Note down whatever details they share.
Send all geo-tagged videos, geo-tagged photos, and noted details once done.

Verification Visit Instruction Manual:

1. Document & Stamp Verification: Check all documents carefully during the visit. On the verification form, verify the stamp matches the stamp on the certificate under verification. If stamps are different, ask the IA for the reason and get written clarification on the spot.

2. Organization Verification: Visit only the organization mentioned in the documents. If the organization name has changed or differs from the documents, confirm the reason for the difference. Collect necessary explanation/clarification from the IA or management during the visit.

3. Signboard and IA Identity Verification: We are facing many rejections due to IA signboards. Please ensure the following on every visit:
- Capture clear signboard photos: Take at least 4 clear photos of the IA's signboard and match the name exactly with the documents.
- If no signboard is present but IA is operational:
1. Request the IA to provide a BRC.
2. Request a written statement from the IA regarding the absence of a signboard.
3. Collect a visiting card of the IA.
4. If the IA refuses to provide anything, conduct a vicinity check and get confirmation from 2 nearby businesses about the IA's existence. Record their details and statements.
5. Also perform a digital search to confirm the IA's presence online.

4. Single Visit Completion: Get all required information and clarifications in one visit. Do not leave any pending questions. This avoids follow-up visits for clarifications later.

5. General Guidelines: Take geotagged photos of the building exterior, entrance, and signage. Note down names and contact details of people met during the vicinity search. If the company is not found, confirm with 2 nearby enterprises and record their details and statement. Follow these steps on every verification visit.

Steps for Primary Source Verification - Priority Order:

1. First and foremost priority: The form should be filled. Complete all the details and get it signed and stamped.
2. Secondly, if they don’t do that: Then get the Certificate Under Verification stamped. And ask the rest of the details verbally and note them down somewhere.
3. Third, if they don’t do both of these: Then bring back a written Refusal Letter. If they don’t even give a written refusal, then take a verbal refusal and in any form, get it documented as proof — like a recording or anything else.

Summary: You must come back with something from the institution in this order:
Filled + Stamped Form > Stamped Certificate + Verbal Details > Written Refusal > Proof of Verbal Refusal
