What we have now
Our outgoing CFO produced a custom dashboard each month that combined QuickBooks Online data with our Excel budget model. We'll share a past edition as a reference for the layout. We want something similar, but better, specific to construction, and easy for us to run ourselves.
Must-haves
Pulls from both QuickBooks Online and spreadsheets (Excel and Google Sheets) automatically. It has to read our budget model and job tracking sheets alongside QuickBooks, with no copy-paste or manual exports.
Super simple to use. Someone who isn't technical, like an owner or bookkeeper, should be able to refresh it, read it and share it in a few minutes. That means no code to run, no scripts and no developer needed month to month. If a refresh takes more than a couple of clicks, it's too complex.
What the dashboard should show
Company view: budget vs. actual, a rolling 12-month cash forecast, P&L trends and gross margin by service line
Construction view: job profitability, WIP and over/under billing, holdback receivable and payable, AR aging by customer, change-order tracking, and backlog (signed work vs. pipeline)
Labour view: labour cost per job, overtime alerts against a set threshold, and payroll allocation (our crew time comes from SuperCrew)
Alerts: cash falling below a minimum, large unpaid invoices, and jobs trending over budget
A clean, owner-friendly design that works on a desktop and a phone, with PDF export for our reviewers
Documentation and a short handover so our team can run it monthly without you
Tools
Because of the must-haves, we prefer an established platform that connects natively to QuickBooks Online and spreadsheets, such as Reach Reporting, Fathom, Looker Studio with a connector, or Power BI. A custom-coded build is only acceptable if it meets the same standard for ease of use. Tell us which you'd choose, why, and what it would cost us to run each month. Bonus if you've worked with Knowify or other construction job-costing tools.
