Client Communication Reply Drafting

Every day I receive a mix of customer emails and chat messages that range from straightforward product questions to more delicate complaints or requests for extra information. I need help keeping the tone consistently polite, concise, and solution-oriented while still sounding human.
Your role is to draft the first-pass replies so I can review and hit send. Most messages will fall into three clear categories:
• answering routine service or product questions
• responding to complaints in a calm, professional manner
• following up when clients leave out key details or documents
Workflow
1. I’ll forward or share the original client message with you, along with any relevant background or internal notes.
2. You’ll prepare a well-structured reply in English that addresses every point, uses correct grammar, and maintains a friendly yet confident voice.
3. I review, suggest tweaks if needed, and then send it to the client.
Turnaround on most drafts should be within a few business hours. Fluency in business English and an eye for nuance are essential, as is respect for privacy—everything you see stays confidential. If you have experience using templates or knowledge bases to speed things up, mention it; otherwise, a clear, thoughtful writing style is what matters most.
Please share a brief sample (or link) of a customer-service style reply you’ve written so I can gauge tone and clarity.
