Virtual Assistant

Task/Problem Description:

The individual must be focused on helping us provide excellent service – this includes generating high-quality work product, communicating effectively with colleagues and attorneys, adhering to deadlines, and working collaboratively with colleagues in the firm’s administrative team to balance workload, work efficiently, and prioritize effectively. Responsibilities Supporting lawyers with document preparation, including editing/formatting complex Word documents (e.g. lengthy contracts), editing/manipulating Excel documents, creating/formatting PowerPoint presentations, using PDF software to create new documents or combine multiple files into one, and using document comparison software to analyze revisions through contract negotiations Operate telephone switchboard to answer, screen, or forward calls, provide information, take messages, or schedule appointments Ensure accuracy in all communication forms – email, verbal, text Schedule appointments, maintain & update calendars Organizing travel by booking accommodations and reservations needs as required Coordinating events as necessary Maintaining supply inventory Requirements Proven experience as an administrative assistant, virtual assistant or office admin assistant Knowledge of office management systems and procedures Proficiency in MS Office 365 Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Preferences for Additional Skills Knowledge of legal document management systems (iManage) Knowledge of legal document comparison software Proficient in video conference and teleconference software
