Automated Contract Verification Agent (Gmail + Zoho CRM + Zoho Sign)
Project Description:
We are looking for an experienced Zoho Developer (Zoho Flow, Deluge, Zoho CRM & Zoho Sign) to build an automated contract verification and audit pipeline for our live entertainment booking business.
Overview of Workflow:
Intake Trigger (Gmail / Google Workspace):
Venue contracts (.pdf, .docx, or scanned PDFs) are received at / forwarded to bespoke EMAIL (hosted on Google Workspace / Gmail).
A trigger via Zoho Flow (Gmail integration or webhook) captures the email and attachment.
Extraction & Parsing:
Extract key data: Show/Artist Name, Venue Name, Performance Date(s), Ticket Price(s), and Rental Terms (flat hire fee, guarantee, or percentage split).
Soft details (load-in times, curfews, sound limits) should be captured as informational notes only.
Cross-Reference with Zoho CRM:
Look up the corresponding booking in the Zoho CRM Deals module matching: Show Name AND Venue Name.
Verification Criteria:
Strict check on: Date, Ticket Price, and Rental Terms.
Tolerance Rule: Minor penny or VAT rounding differences must automatically PASS.
Execution Branching:
PASS (100% match or within penny tolerance):
Automatically create a draft envelope in Zoho Sign attached to the CRM Deal, staged and ready for signature.
Update Zoho CRM Deal stage to "Contract Verified - Awaiting Signature".
Queue for the Green list in the daily digest.
FAIL (Hard mismatch on Date, Price, or Rent):
Do NOT create a Zoho Sign document.
Update Zoho CRM Deal stage to "Contract Discrepancy".
Log discrepancies and generate a warm, professional dispute message quoting the agreed CRM deal terms.
Queue for the Red list in the daily digest.
Daily 4:00 PM Batch Digest (Delivered to Tara's Gmail):
Scheduled email sent at 4:00 PM to our operations manager’s Gmail address.
Green Section: List of clean contracts ready to sign, with direct links to Zoho Sign.
Red Section: Side-by-side comparison tables (Agreed CRM terms vs. Contract terms) with an embedded, pre-drafted friendly reply ready to send straight back to the venue manager via Gmail (mailto: or pre-composed link).
Silence Rule: If zero contracts were received that day, no email is sent.
