Job Title: Wrike Pinnacle Implementation Consultant – Modular System Build & Ongoing Support (Contract)
Contract Structure: Independent Contractor (Part 1: Phased Sub-Project Milestones / Part 2: On-Call Maintenance & Tooling) Series of Fixed Price Tasks
Project Overview: A specialized California Design-Build firm is seeking an experienced Wrike Pinnacle systems consultant to optimize, streamline, and expand our operational workspace. Our team operates across technical leadership, non-technical administrative coordinators, and field trade crews.
The primary systems are in place, you will help us elevate our ecosystem to the next level by taking a modular, iterative approach. For each priority area, we will demonstrate our existing workflow, share what we want to achieve, and identify our immediate priorities. You will evaluate these requirements, suggest the optimal system architecture, and configure the necessary subsystems, forms, or tools so that current needs are met while accommodating future growth
Part 1: Priority Tool Build
We have two pressing needs that will be the first priority, intended to be used without friction while the rest of the Wrike build-out is being completed.
a) Sandbox calendar and Gantt chart for big picture planning. Initial build may or may not tie to live projects; long term goal is to include live project manpower
b) Mobile Field Dispatch & Time Tracking: Build frictionless mobile device work-order tools and/or request forms, allowing field crews to log daily shift hours directly to active trade buckets without navigating deep project structures, while automatically handling variable shift schedules and overtime rules.
Part 2: Primary Build-Out (Modular Sub-Projects)
We will tackle the initial implementation through scoped, bite-sized deliverables. Using our operational requirements, you will work with our Senior Manager to design and deploy solutions across the following functional areas:
Lead Intake & Pre-Award Scoping: Configure a clean prospect pipeline that prevents leads from falling through the cracks, tracks pre-sales design hours against contract awards, and automates active project creation upon contract sign-off.
Workflow Stage Gates & Review Cycles: Establish formal approval gates (such as client sign-offs and design quality checks) to lock downstream phases until criteria are met. Build parallel dependency tracks that allow municipal permitting reviews and trade-friendly production drawings to run concurrently without mixing revision comments into client-facing schedules.
Role-Specific User Shields: Design contained workspaces, simplified views, and restricted navigation so non-technical administrative, office, and field personnel never have to navigate complex backend folder hierarchies.
Job Costing & Financial Allocations: Configure operational Gantt schedules focused on physical sequencing (decoupled from contract billing jargon), implement tracking fields for budgeted vs. actual labor hours, enable multi-line material expense splitting against budget allowances, and build isolated change-order containers that track scope and fee adjustments without altering base contract baselines.
Closeout Verification & Media Linkage: Set up automated triggers for post-construction quality scans and closeout deliverables, store external photo album reference URLs in custom fields to protect file storage, and create notification triggers alerting accounting when all compliance deliverables are verified for final billing.
Executive Planning & Performance Dashboards: Create a macro-level staging Gantt and calendar sandbox for leadership to test capacity across major operational blocks without disturbing active job boards. Build executive dashboards to track core performance metrics, including gross margin variance, closeout cycle times, schedule slippage, and jurisdictional permit turnaround velocity.
Part 3: Improvements, Support & Ongoing Maintenance
Following the rollout of prioritized core modules, the engagement transitions into an as-needed, support arrangement:
Routine Maintenance & System Health: Provide periodic check-ins, troubleshooting, minor status/view adjustments, and script/webhook maintenance to ensure system stability.
Targeted Add-On Tooling: As new internal needs emerge, additional custom item types, request forms, or reporting views will be scoped and executed as independent, bite-sized tasks.
System Governance: Maintain clean architecture, ensuring ad-hoc updates do not break existing dashboards, formulas, or permissions.
Contractor Qualifications
Wrike Enterprise Pinnacle Expertise: Deep hands-on experience configuring Custom Item Types, Blueprints, Request Forms, Automation Rules, User Access Roles, and Wrike Analyze.
Systems-Architecture Mindset: Ability to listen to practical business processes and engineer elegant, low-friction backend solutions that shield non-technical users from operational complexity.
Collaborative Working Style: Comfortable participating in periodic screen-share reviews to understand workflows, walk through completed subsystems, and provide brief handover documentation.
AEC / Trade Workflow Familiarity (Preferred): Prior exposure to design-build, architectural services, or trade contracting environments is a strong plus.
To Apply, please submit a brief proposal addressing:
Your experience configuring Wrike Enterprise Pinnacle environments (specifically around access roles/spaces, custom item types, and reporting via Dashboards and/or Wrike Analyze).
How you approach structuring Wrike for non-technical field or office personnel who need minimal clicks.
Your availability for collaborative milestone sprints and ongoing support.
