Personal Life & Household Assistant

I’m looking for a highly organized, resourceful personal assistant to help manage the day-to-day logistics and “life admin” that come with being a busy adult.

This is not primarily a calendar-management or corporate executive assistant role. The work changes from week to week. I need someone who can take a running list of miscellaneous personal tasks, figure out how to accomplish them, follow through, and make sure things actually get closed out.

A typical week might include things like:

Scheduling an oil change and figuring out where/when to take the car
Returning clothing or packages before the return window closes
Calling a business, doctor, service provider, venue, etc. to get information or resolve something
Organizing medications or household supplies
Putting household bills online or setting up autopay
Following up with a photographer or other vendor for an upcoming event
Finding someone to alter or sew clothing and coordinating drop-off/pick-up
Helping plan a birthday, outing, appointment, or other personal event
Researching and booking services
Keeping track of deadlines, returns, appointments, payments, renewals and miscellaneous obligations
Coordinating with cleaners, contractors, repair people or other household vendors
Handling errands and pickups/drop-offs
Researching something I need to buy, fix, schedule or solve
Following up on things I have started but haven't had time to finish
Reminding me about calls or tasks that need to happen on a particular day
Occasionally helping organize a closet, cabinet, medications, paperwork or another area of the house
Taking a vague request like “I need to deal with this battery controller” and figuring out what actually needs to happen next
The most important part of the job

I don't want to have to project-manage my personal assistant.

I need someone who can be given something like:

“I need to return this.”
and independently determine where it goes, when the deadline is, what label is needed, whether it needs to be packaged, and how to get it returned.

Or:

“I need to get my car serviced.”
and figure out what service is due, find an appropriate place, call if necessary, identify available appointments, and bring me the best option.

The goal is to reduce my mental load, not simply remind me that something is on my list.

What I’m looking for

The right person is:

Extremely organized and reliable
Good at figuring things out independently
Comfortable making phone calls and following up repeatedly
Persistent when a company or vendor doesn't respond
Able to research quickly and make reasonable recommendations
Comfortable handling lots of small, unrelated tasks
Detail-oriented about dates, deadlines and instructions
Good at keeping a running task list and updating status
Proactive about noticing when something needs a next step
Comfortable saying, “I handled it,” rather than waiting for instructions at every stage
Discreet and trustworthy with personal information
Tech-comfortable enough to manage online accounts, reservations, returns, forms, spreadsheets, etc.
Willing to do both computer/phone-based administrative work and occasional in-person errands
What success looks like

At the beginning of the week, I should be able to hand over a list of 10–20 random things that are taking up space in my brain.

By the end of the week, most of them should either be done or have a clear next step that you are already managing.

I especially want someone who naturally thinks:

“What else needs to happen for this to be completely taken care of?”

rather than:

“I completed exactly the one step you asked me to do.”

The simplest way I’d describe the role

You are essentially the person who handles all of the miscellaneous adulting that otherwise sits on my personal to-do list. The tasks will change constantly. I need someone resourceful enough that I can hand something off and stop thinking about it.
