Veeva Vault Suite Workflow Setup

This 12-month contract centres on configuring and optimising our full Veeva Vault Suite—QualityDocs, PromoMats, MedComms and RIM included—with the option to extend if the collaboration goes well.
The most pressing need is to design, build and validate workflows, user roles and document review steps. In PromoMats and MedComms, that means mapping the entire content life-cycle, defining review/approval paths and assigning granular permissions so authors, reviewers and approvers always see the right version at the right time. QualityDocs and RIM must follow the same logic, but with the added rigor required for compliance and regulatory change management.
Key deliverables
• Detailed workflow architecture for each vault (QualityDocs, PromoMats, MedComms, RIM)
• Role matrix with permissions aligned to SOPs and audit requirements
• Configured document review steps, notifications and escalation rules
• Validation evidence (IQ/OQ) and hand-over documentation for internal admins
• Knowledge transfer sessions so the in-house team can maintain what you build
Experience with Veeva configuration tools, Vault Loader, and best-practice validation documentation will make onboarding smoother, and strong communication skills are essential because you’ll liaise directly with business users and QA.
If you’ve successfully rolled out similar workflow frameworks across multiple Veeva Vault modules and can commit to a year-long engagement, I look forward to working together.
