# SharePoint Developer / Information Architecture Specialist
## Project Overview
We are looking for an experienced **Microsoft SharePoint developer / specialist** to help us rapidly uplift and structure our SharePoint environment over the next **3 weeks**.
The objective is to establish a clean, professional and scalable SharePoint structure that becomes the foundation for **business knowledge management and controlled document management**.
This is not primarily a document migration project. There is relatively little existing-document migration required.
The focus is on getting the **SharePoint structure, navigation, metadata, document governance and key pages** working properly so that we have a strong foundation going forward.
## What We Need
We need someone who can work with us to:
### 1. Build the SharePoint Top-Level / Home Page
Create a professional, user-friendly SharePoint landing page that acts as the **front door to our business knowledge environment**.
The top-level page should provide:
* Clear navigation across key business areas
* Links to important systems and resources
* Business / functional navigation
* Access to key policies, procedures and knowledge
* Clear pathways into departmental / functional pages
* A clean and professional user experience
* Structure that can be expanded over time
The objective is to make the SharePoint home page genuinely useful to employees rather than simply being a document repository.
### 2. Build Key Second-Level Pages
We want to establish the structure for a number of important pages beneath the top-level page.
These will be focused on key business functions / areas and should provide:
* Clear page structure
* Appropriate document libraries
* Logical navigation
* Relevant metadata
* Links to related information
* Consistent page design
* Search / filtering where appropriate
We don't need every possible page built in this engagement. The priority is establishing the **top-level architecture and a small number of high-value second-level pages** that demonstrate the model.
### 3. Establish Knowledge Management & Metadata
A major part of the project is moving towards a controlled approach to **new documents entering SharePoint**.
We want to establish a practical framework where new documents are appropriately classified using metadata such as:
* Business area / department
* Document type
* Category / subject
* Document owner
* Status
* Effective date
* Review date
* Other relevant classification fields
The goal is to make information **structured, searchable and manageable**, rather than relying on users simply creating folders and storing documents wherever they choose.
### 4. Establish Document Governance
Help us implement the SharePoint configuration required so that **new documents follow a controlled process**.
This may include:
* Content types
* Site columns
* Metadata
* Document libraries
* Views
* Naming conventions
* Document templates
* Required metadata
* Version control
* Approval / publishing processes where appropriate
* Ownership and review processes
We want the solution to be practical and easy for business users to adopt.
### 5. Minimise Existing Document Migration
There will be **limited migration of existing documents** as part of this project.
Our priority is to get the **future-state SharePoint structure right** rather than spending the three weeks undertaking a large-scale document migration.
Existing documents can largely remain where they are initially, with migration / rationalisation becoming a future phase where required.
## Deliverables
At the end of the 3-week engagement, we expect to have:
1. **A completed SharePoint top-level / home page**
2. **Key second-level business pages established**
3. **A clear SharePoint information architecture**
4. **Navigation structure implemented**
5. **Document libraries appropriately configured**
6. **Metadata / site columns established**
7. **Relevant content types established**
8. **Controlled approach for adding new documents**
9. **Appropriate views, filtering and search configuration**
10. **Basic document governance structure**
11. **Consistent page and library design**
12. **Documentation explaining the implemented structure and governance**
13. **Handover to our internal team**
## Ideal Freelancer
We are looking for someone with strong practical experience in:
* Microsoft SharePoint Online
* Modern SharePoint sites and pages
* SharePoint information architecture
* Document management
* Metadata and content types
* SharePoint document libraries
* Knowledge management
* Search and filtering
* SharePoint permissions / governance
* Microsoft 365
* Power Automate where relevant
You should be comfortable working directly with business stakeholders and translating business requirements into a **simple, usable SharePoint architecture**.
We are **not looking for someone who simply builds attractive SharePoint pages**. The successful freelancer needs to understand how SharePoint should be structured as a **business knowledge and document management platform**.
## Engagement
**Duration:** 3 weeks
**Start:** ASAP
**Location:** Remote
**Engagement:** Fixed-term project / freelancer
We expect the successful candidate to work closely with our team during the three weeks, with regular progress reviews and rapid iteration.
## Important
We already have a clear direction for the future SharePoint environment. We are looking for someone who can **come in, understand the current environment quickly, challenge where appropriate, and implement the required solution**.
This is intended to be a **hands-on delivery engagement**, not a lengthy consulting exercise.
The successful freelancer should be able to make meaningful progress within the first few days and have the core SharePoint architecture and top-level experience substantially established during the engagement.
