I already use an expense-reporting system; what I lack is the time to feed it with the details from my receipts. And place them in appropriate order and group them by audit etc. Each week I will email you a batch of digital files—mostly PDFs and phone-camera images—containing the receipts that need to be logged into a specific Excel sheet , as well as my invoice hours total- at the end of each month these seperate expense report and group total expense and invoice of salary are provided to my company.

Your job is to open each file, extract the date, vendor, amount, tax (if listed) and any notes I flag in the email, then enter that information directly into my excel corresponding to the audit I am completing and invoice of salary hours . Accuracy matters more than speed, yet I still aim for a 24 hour turnaround once you receive a batch so that my books stay current. It’s mostly just uber and meal receipt tickets it shouldn’t take more than 2-3 hours

I will supply:

• templates of the expense report and invoice report
• A simple field guide showing how I want categories, project codes and currencies handled. - maybe even a teams call or video call to show you.
• Regular email access for quick questions while you work.

Deliverable is straightforward: by the end of each batch, every receipt must appear in the system with matching totals and the image attached to the entry.

If you have experience with expense tools such as word, Expensify or excel it’s a bonus, but any diligent data-entry professional with an eye for detail and basic spreadsheet familiarity should feel at home.

Let me know your typical weekly capacity and any similar projects you have completed, and we can get started right away.
