TITLE
Independent Odoo ERP Solution Architect / Owner’s Representative — CRM, CPQ, eCommerce and Operations
PROJECT DESCRIPTION
Seaquatic Aquariums designs and builds custom aquariums, acrylic viewing panels, life-support systems, and large commercial/public-aquarium projects.
We are planning an Odoo Enterprise implementation for approximately 10 internal users. Odoo will become the central operating system for our website, eCommerce, CRM, quotations, CPQ, projects, purchasing, inventory, job costing, accounting, construction billing, and service.
We already have:
A consolidated ERP implementation scope containing approximately 88 requirements and 16 acceptance scenarios
A functional specification and proposal from a bidding Odoo contractor
An existing Zoho CRM/Zoho One environment
An existing CPQ and pricing process
Airtable, spreadsheets, website systems, and other operational data
Defined concepts for product/SKU management, customer baskets, custom inquiries, marketing attribution, and project delivery
We need an independent, senior Odoo solution architect to review everything, identify blind spots, convert the requirements into implementation-ready specifications, and act as Seaquatic’s owner-side representative during implementation.
This is not a request for another implementation bid. The architect must remain independent from the bidding implementation contractor and disclose any vendor, referral, or financial relationships.
USE OF AI
The architect is encouraged to use AI to accelerate drafting, requirements analysis, process documentation, test-case creation, and comparison work. However, the architect remains personally responsible for inspecting the actual systems, verifying every conclusion, resolving contradictions, and ensuring the final work is technically and operationally accurate.
SCOPE OF WORK
Existing-System Audit
Review our ERP scope, contractor functional specification, proposal, estimates, assumptions, exclusions, and requirement IDs.
Inspect our Zoho environment, including modules, fields, custom modules, pipelines, workflows, Deluge scripts, permissions, reports, integrations, attachments, record volumes, and data quality.
Review the current CPQ process, including engineering inputs, formulas, costs, margins, market variables, approvals, exceptions, quote generation, and manual estimating.
Review relevant Airtable bases, spreadsheets, accounting data, website workflows, Google Workspace connections, telephone/call-routing process, and marketing-attribution requirements.
Interview the owner and key personnel to distinguish documented assumptions from actual business practices.
Identify missing requirements, conflicting requirements, unnecessary customization, vendor lock-in, migration risks, and areas incorrectly classified as native Odoo functionality.
Architecture and Detailed Specification
Develop or validate:
Odoo application and custom-module architecture
Account, contact, opportunity, quotation, order, project, and accounting relationships
Standard, configurable, and custom product/SKU architecture
Quotation-backed multiple customer baskets without duplicating Odoo’s transaction records
Product-family-agnostic CPQ framework
Automatic CPQ price, cost, margin, weight, lead-time, and output calculations
Initial CPQ families for acrylic panels and approved rectangular aquariums
Administrator creation of future CPQ families without developer coding
Custom/specialty inquiry and custom-to-CPQ conversion workflows
Website, eCommerce, portfolio/case-study CMS, portal, and checkout
Visitor identity, marketing attribution, advertising click IDs, and telephone-call attribution
CRM, sales, project delivery, procurement, inventory, logistics, job costing, accounting, progress billing, retainage, warranty, and service workflows
Roles, permissions, approvals, audit history, security, backups, and disaster recovery
Integration architecture and source-of-truth ownership
Data migration, cleansing, trial migrations, reconciliation, cutover, and archive requirements
Hosting, repository, custom-code ownership, documentation, and vendor-transition protections
Vendor and Commercial Review
Map every requirement to Native, Configuration, Studio, Custom Module, Integration, Third-Party, Deferred, or Not Met.
Require the implementation contractor to demonstrate any claimed native functionality.
Reconcile the complete requirements against the contractor’s price, schedule, staffing, dependencies, and recurring costs.
Identify requirements that are described in the functional specification but excluded from the commercial proposal.
Distinguish legitimate changes from clarifications already required to satisfy the approved scope.
Review estimates for duplication, omissions, excessive customization, unrealistic effort, and hidden discovery allowances.
Implementation Oversight
After the architecture phase, the selected consultant may continue as Seaquatic’s owner’s representative by:
Participating in design and implementation meetings
Reviewing designs, backlogs, workflows, estimates, and demonstrations
Monitoring requirement traceability and change control
Reviewing integration and migration designs
Confirming that custom modules do not duplicate native Odoo records
Reviewing testing evidence and implementation documentation
Overseeing trial migrations and reconciliation
Helping Seaquatic prepare and execute UAT
Identifying defects, incomplete work, and scope reductions
Providing written recommendations to accept, reject, or conditionally accept each implementation wave

REQUIRED EXPERIENCE
Senior Odoo Enterprise solution architecture experience
Strong knowledge of Odoo CRM, Sales, Website/eCommerce, Purchase, Inventory, Accounting, Project, Documents, Sign, Timesheets, and custom Python modules
Experience designing CPQ or formula-driven configurable products
Experience auditing Zoho CRM/Zoho One and planning migrations to Odoo
Experience with project-based businesses, job costing, procurement, progress billing, or construction retainage
Experience acting as an independent owner’s representative or reviewing another vendor’s implementation
Ability to identify where native Odoo ends and custom development is genuinely required
Strong written English, process-documentation, and stakeholder-interview skills
Availability for video meetings with reasonable overlap with U.S. Eastern Time
INDEPENDENCE AND SECURITY
The initial phase is advisory and read-only; no production changes are authorized.
Access will be provided securely after NDA execution.
No credentials or confidential data may be shared with unauthorized subcontractors or entered into unapproved public AI systems.
Any assistants or subcontractors must be disclosed and approved.
The consultant must not receive compensation, commissions, or referral fees from the implementation contractor or recommended vendors.
ENGAGEMENT STRUCTURE
Phase 1 will be a paid, capped discovery and audit engagement. Continuing architecture and owner-representation work will be authorized based on the quality of Phase 1.
