Project Description
ReGeneva Solutions is looking for an experienced freelance designer or design agency based in India to design a professional, visually engaging and print-ready Integrated Report / Sustainability Report for a corporate client.
The report content will be provided in an editable Microsoft Word file of approximately 160 pages (±20 pages). The selected designer will manage the complete design process—from concept development and cover page/layout finalisation to final digital, print-ready and editable file delivery.
Mandatory Requirement
Applicants must have prior experience designing Integrated Reports, Sustainability Reports, ESG Reports, Annual Reports or corporate reports, preferably for manufacturing, industrial or other core-sector companies.
Scope of Work
The selected freelancer/agency will be responsible for:
* Reviewing the report content and understanding its structure.
* Proofreading and standardising formatting, fonts, styles and presentation.
* Developing 2–3 creative cover page options.
* Developing initial design concepts and sample page layouts.
* Finalising the overall design and layout with ReGeneva.
* Designing the complete report, including:
* Text-heavy pages
* Tables, charts and infographics
* Performance highlights
* Case studies
* ESG/sustainability disclosures
* Photographs and visual content
* Section dividers
* Management messages and other report sections
* Ensuring consistency with the client’s brand guidelines and corporate identity.
* Incorporating unlimited revisions based on client feedback until final approval.
* Accommodating changes in layout, formatting, visuals, page structure and presentation as required.
* Taking end-to-end responsibility for finalising the report within the agreed timeline.
Expected Deliverables
1. Digital / Website-Ready PDF
* Final designed PDF optimised for digital viewing and website upload.
* Hyperlinks/bookmarks, wherever applicable.
* Optimised file size without compromising readability or quality.
2. Print-Ready PDF
* High-resolution, print-ready PDF.
* Correct page size, margins and bleed, wherever required.
* Print-quality images and graphics.
* Final quality check of alignment, page order, fonts and design consistency.
* Suitable for submission to the printing agency.
3. Open / Editable Design Files
* Complete open/source files in Adobe InDesign or Adobe Illustrator only.
* Properly organised and editable working files.
* Linked images and graphic assets.
* Fonts or font details, wherever legally shareable.
* All final design elements required for future updates or revisions.
Inputs to Be Provided by ReGeneva
ReGeneva will provide the following, as available:
* Approximately 160-page editable Word document (±20 pages) containing the report content.
* Client brand guidelines.
* Company logo and brand assets.
* Previous Integrated, Sustainability, ESG or Annual Reports of the company.
* Relevant photographs and image bank.
* Design direction and feedback during the project.
Any additional royalty-free stock images, icons or design assets should be discussed and approved in advance.
Expected Work Process
Stage 1: Concept and Cover Page
* Review the content and brand guidelines.
* Share 2–3 cover page options.
* Recommend a suitable visual direction.
Stage 2: Layout Development
* Share sample layouts for key page types.
* Develop the design system, including typography, colours, page layouts, section dividers, tables, charts, infographics, headers, footers and page numbering.
* Finalise the layout with ReGeneva before designing the complete report.
Stage 3: Complete Report Designing
* Design the complete report based on the approved layout.
* Maintain consistency, readability and visual hierarchy.
* Present ESG, sustainability, business and performance information effectively.
Stage 4: Review and Finalisation
* Share the designed report for review.
* Incorporate feedback and revision comments.
* Make required changes to layouts, charts, tables, graphics, formatting and content presentation.
* Complete final quality checks.
* Submit all three final deliverables.
Revision and Feedback Requirements
* Unlimited revision cycles are expected until the report is finalised and approved.
* Revisions may include changes to layout, page design, typography, colours, charts, tables, infographics, content arrangement and page count.
* Any significant change beyond the agreed scope will be discussed separately.
* The designer must respond promptly to messages, calls and feedback and avoid unnecessary delays.

Important Conditions
The selected freelancer/agency must:
* Sign the required Intellectual Property and Non-Disclosure Agreement.
* Maintain strict confidentiality of all client and project information.
* Not use the client’s report, logo, data, design or project details in any portfolio or public communication without written approval from ReGeneva.
* Not directly approach the end client or make commercial/scope commitments without ReGeneva’s approval.
* Coordinate through the ReGeneva project team.
* Hand over all final PDFs, open files, linked assets and other agreed deliverables upon completion.
* Not further subcontract the work without prior written approval from ReGeneva.
Timeline
The project must be completed within an agreed timeline after receipt of all required inputs.
