This role reports to the VP of HR who is based in the USA.
Purpose of Role
The purpose of this role is to provide ongoing HR administration services to the UK and international teams spanning five countries, ensuring that all legal requirements relating to employment and management of individuals across the international division are met. Specifically, this will include ensuring that all employee relations issues and employee-related processes from recruitment to termination are handled fairly, equitably, and in accordance with local legislative requirements, company policy, and good practice. This role will also provide advice and support to local managers in all necessary areas, and suggest changes to keep Embarcadero (and other Idera Inc. subsidiaries) up to date with good practice and workplace trends.

The working hours will be 20 hours per week. The precise working days, hours, and pattern will be arranged to suit the job holder and the needs of the business.
This role is remote.
The International region currently covers employees in the following countries: Czech Republic, France, Germany, Netherlands, and the UK. Flexibility is required to occasionally work outside normal working hours to deal with telephone calls and to participate in remote meetings in other time zones.
Responsibilities and Duties
The HR Administrator will be specifically responsible for the following areas:
Database management
Managing annual leave and monitoring of all absences
Creating and tracking employee documentation
Liaising with the Finance team and Operations team regarding Employee data
Obtaining employment references
Tracking probation
Processing new starters and leavers
Filing and record keeping
Guiding and assisting managers in handling all sensitive employee relations issues in accordance with prevailing local legislative requirements, and in accordance with company policy
Providing confidential support to employees
Ensuring company policies and the Staff Handbook are kept up to date with legal, policy, and procedural changes throughout the international region, and advising the business on necessary changes
Acting as the main point of contact to explain any policy queries to managers and employees
Helping managers conduct interviews and other sensitive staff meetings as and when required
Supporting managers in handling disciplinary and grievance issues
Managing terminations and redundancy meetings and handling associated documentation, legal discussions and advice
Monitoring and assisting line managers with the management of long-term sickness absence
Producing job offers and contracts of employment across the international division (in dual/foreign languages with appropriate support where required)
Providing references for employees needing company backing for mortgages/loans/housing, and on work records for ex-employees seeking new employment
Managing personal data updates for payroll and record keeping purposes
Conducting an annual data check exercise, updating all necessary records and files
Handling incoming emails from third-party providers and inquiries
Acting as the primary point of contact for solicitors and lawyers in the event of any employee disputes, or when expert legal advice is required to support the business
Assisting the Finance team in managing employee benefits, and undertaking ad hoc work and administration related to employee benefits as required
Participating in due diligence and merger/acquisition/TUPE work from time to time and ensuring that all employee-related matters arising as part of such projects are handled in a timely and professional manner
Undertaking special HR-related projects and other activities from time to time as requested

Reports to be submitted weekly, monthly, and annually as needed
Absence monitored weekly
References to be obtained within the employee’s probationary period

Qualifications, Experience & Personal Skills
Educated to degree level and/or experience in general office administration in an HR environment
Must be fully CIPD qualified or equivalent experience
Must have significant commercial Generalist HR management experience at a senior level, ideally in a small team or autonomous standalone role
Must have some international HR experience and knowledge, ideally including across some of the countries in which the international division operates
Ideally will have worked in the software sector and for a US-owned organisation
Must have and be able to maintain strong, up-to-date knowledge of UK employment law, and good general knowledge of other international employment law in relevant countries
Must have experience of liaising with international lawyers to take detailed advice, and then be confident and competent to act unilaterally upon it and be the onward conduit to advise the business
Must have experience of working with multiple priorities and meeting deadlines, often in a pressured environment
Must have good business acumen
Must have solid MS Word, Excel and PowerPoint skills
Able to take direction or work independently and produce results with minimal supervision
Excellent written, verbal, and interpersonal communication skills in English; a second European language would be useful but is not a prerequisite
Self-motivated and organised with the ability to prioritise effectively
Process-driven, with strong attention to detail and a high level of accuracy
Ability to maintain confidentiality of information, written or spoken, with regard to all employee matters
Approachable and professional, with the ability to exercise tact and discretion at all times
