PROJECT OVERVIEW

We are looking for an experienced Accounting and ERP Implementation Specialist to establish a structured accounting environment, migrate historical financial data, and bring the company's books to a clean and fully reconciled position.

This is not a data-entry project. We are looking for someone with a strong understanding of accounting, financial reporting, ERP configuration, process design, reconciliations, and internal controls.

The selected professional will be responsible for taking the accounting environment through ERP setup, Chart of Accounts design, historical data migration, reconciliation, process documentation, and final handover.

KEY OBJECTIVES

The primary objectives of this engagement are to:

* Establish a structured and scalable accounting environment
* Configure the selected ERP/accounting platform appropriately
* Develop a logical Chart of Accounts aligned with business activities
* Migrate and validate historical accounting records
* Reconcile and clean up existing balances
* Establish reliable finance processes and controls
* Ensure accurate financial reporting
* Bring the books up to an agreed cut-off date
* Document accounting processes and month-end procedures

SCOPE OF WORK

1. ERP & ACCOUNTING ENVIRONMENT SETUP

Configure the accounting/ERP system based on the company's operational and reporting requirements.

Responsibilities include:

* Company and entity configuration
* Accounting period and financial year setup
* Tax and accounting configuration, where applicable
* Customer and vendor master setup
* Product/service and transaction category configuration
* Accounting workflows and approval flows
* Posting rules and transaction classifications
* User roles and access controls
* Integration considerations, where applicable

2. CHART OF ACCOUNTS DESIGN

Review the existing accounting structure and develop a clear, scalable, and management-friendly Chart of Accounts.

The COA should:

* Reflect the nature of the business
* Support statutory financial statements
* Enable meaningful management reporting
* Avoid unnecessary account duplication
* Provide appropriate separation of revenue, COGS, and operating expenses
* Clearly classify assets, liabilities, and equity
* Support future business growth

The selected professional will also map the legacy accounts to the new Chart of Accounts.

3. FINANCE PROCESS DESIGN

Establish standardized accounting processes covering the complete finance cycle.

4. HISTORICAL ACCOUNTING DATA MIGRATION

Review the existing accounting records and migrate relevant historical information into the new accounting environment.

The migration should include, as applicable:

* Historical sales transactions
* Purchase transactions
* Expense transactions
* Bank and cash transactions
* Customer balances
* Vendor balances
* General ledger transactions
* Fixed asset records
* Tax-related balances
* Opening balances
* Required journal entries

The professional will be expected to:

1. Review the legacy data

2. Identify inconsistencies and gaps

3. Map legacy accounts to the new COA

4. Define the appropriate migration methodology

5. Import or post the required transactions

6. Validate migrated data

7. Reconcile the migrated balances

8. ACCOUNTING CLEANUP & RECONCILIATION

Perform a detailed review of the accounting records to ensure the books are accurate and complete.

This includes:

* Bank reconciliation
* Accounts receivable reconciliation
* Accounts payable reconciliation
* General ledger review
* Opening balance verification
* Trial balance review
* Customer and vendor balance verification
* Identification of duplicate transactions
* Identification and correction of misclassifications
* Investigation of unexplained differences
* Review of suspense and unidentified balances
* Correction of accounting errors
* Final reconciliation to the agreed cut-off date

The objective is to ensure that the final books are accurate, reconciled, and ready for ongoing monthly accounting and reporting.

6. ACCOUNTING POLICIES & INTERNAL CONTROLS

Develop basic finance policies and controls appropriate for the company's size and operations.

Documentation should cover:

* Accounting policies
* Invoice and expense approval procedures
* Payment authorization controls
* Journal entry controls
* Bank reconciliation procedures
* Customer/vendor master controls
* Supporting documentation requirements
* Month-end closing procedures
* Segregation of duties
* User access and approval controls

The focus should be on practical controls that can actually be implemented rather than overly complex documentation.

IDEAL CANDIDATE

The ideal candidate should be someone who can think beyond bookkeeping and data entry.

You should be comfortable understanding the complete flow from business operations to accounting structure, ERP configuration, transaction processing, financial reporting, controls, and reconciliation.

You should also be capable of identifying accounting issues independently and recommending improvements rather than simply following existing processes.

PROJECT STRUCTURE & PAYMENT

This will be a fixed-price engagement with milestone-based payments.

Milestones will be linked to clearly defined deliverables, such as:

Milestone 1: ERP assessment, accounting structure, and Chart of Accounts

Milestone 2: ERP configuration and finance process setup

Milestone 3: Historical data migration

Milestone 4: Reconciliation, cleanup, and balance verification

Milestone 5: Documentation, controls, and final handover

The exact milestones, timelines, and payment amounts will be finalized with the selected professional before commencement.
