Dental Patient Call Support Assistant

I need a reliable virtual assistant to become the first point of contact for our dental patients. Your main responsibility will be answering incoming phone calls and responding to voicemail or written messages in a warm, professional tone that reflects our practice’s values. While your core focus is prompt call and message handling, there may be occasional moments when you’ll help confirm an appointment or clarify an insurance detail, so flexibility is appreciated.

Day-to-day you will:
• Pick up or return every patient call during agreed working hours, using our HIPAA-compliant VoIP line.
• Log each interaction with concise notes in our practice management software so the clinical team is always up to date.
• Escalate clinical or complex billing questions to the appropriate staff member, ensuring smooth hand-offs.

Acceptance criteria:
• All calls returned within 15 minutes during shift.
• Message inbox cleared by end of day with documented outcomes.
• Zero privacy breaches; follow HIPAA guidelines at all times.

If you’re experienced with dental front-office communication tools (e.g., Dentrix, Open Dental, Eaglesoft) that’s a plus, but I’m open to other platforms you’re confident with. Steady, friendly communication and patient empathy are the qualities that matter most.
