We're looking for a Data Intake Specialist to clean, match, and structure government HR data before new agency clients go live on a US software platform built for local government HR teams. You will combine salary tables and job descriptions from multiple sources, resolve mismatches in job titles and codes, detect duplicates, apply consistent formatting standards, and match job classifications to their corresponding labor agreements.
Accuracy is the entire job. This is high-stakes, detail-driven data work where a wrong match or missed duplicate has real consequences. Speed matters but only after accuracy is guaranteed. If you have a sharp eye for inconsistencies, are comfortable with repetitive precision work, and know Excel well enough to move through large datasets confidently, this role is a strong fit.
Why You'll Want to Join
You will be paid in USD (bi-monthly: every 15th and 30th)
Paid Time Off in accordance with company policy
Observance of Holidays per company guidelines
100% remote setup so you can work wherever you're most productive
This role requires availability during US business hours
Work inside a growing software company serving local government HR teams across the US
High-ownership data role where your accuracy directly determines whether a client goes live successfully
What You'll Work On
Data Matching and Reconciliation
Combine salary data and job descriptions from multiple sources into one accurate, consistent record using Excel and Google Sheets
Resolve mismatches in job titles and codes such as matching "Accountant Manager" to "Acct Mgr" across different source files
Match job classifications to their corresponding labor agreements and bargaining units accurately
Convert salary figures into annualized values using standardized formulas provided by the team
Data Cleaning and Quality Control
Detect and resolve duplicate records across datasets
Apply consistent formatting standards across every record in the dataset
Flag issues clearly rather than guessing or making assumptions when something looks wrong
Use internal tools to work more efficiently and communicate feedback when a process could work better
Light Research and Documentation
Conduct light website research to verify or supplement job classification information when needed
Document data issues, mismatches, and resolutions clearly for team reference
Maintain organized records of completed and in-progress data intake work
What You Bring
Exceptional attention to detail with the ability to catch inconsistencies in large, messy datasets before they become errors in the final record
Comfortable with repetitive, high-stakes work where accuracy matters more than speed
Strong Excel skills including VLOOKUP, conditional formatting, and a willingness to learn XLOOKUP and other advanced functions
Fluent written English with the ability to communicate data issues clearly and conduct light web research
Organized and methodical with a consistent approach to structured data work
Comfortable flagging problems early rather than guessing and moving on
Nice to Have
Experience working with HR data, payroll data, or government classification systems
Familiarity with Google Sheets for collaborative data work
Background in data entry, data reconciliation, or data quality roles
Experience working with labor agreements, bargaining unit classifications, or public sector workforce data
Background in or exposure to public sector, government, or municipal HR environments
How to Apply
Please include:
Your updated resume
A short Loom video (1 to 2 minutes) introducing yourself, describing your experience with data entry or reconciliation work, and explaining how you handle a situation where two source files use different naming conventions for what appears to be the same job title
Only candidates who submit a Loom video will be moved to the next step of the hiring process.
If you have a sharp eye for data inconsistencies, take pride in getting every record right before it goes out, and want to be the person who makes sure a client's data is clean before they go live, this role gives you the precision work and the direct impact to do your best work.
