Position Overview
We are looking for a Bilingual HR Assistant to join our HR Admin Team and support the day-to-day delivery of Human Resources services across Calian. This is an entry-level opportunity for someone who is organized, collaborative, detail-oriented, and interested in building their HR career.
You will support a broad range of HR activities across the employee lifecycle while working closely with HR Assistants, Senior HR Assistants, employees, managers, and other internal stakeholders.
Responsibilities
Maintain accurate employee information within HRIS and ensure records are updated in a timely manner.
Prepare offer letters, employment correspondence, onboarding and benefit documentation, and other confidential HR materials.
Maintain employee records, electronic files, HR resources, documentation, and filing systems.
Prepare and maintain routine HR reports and support HRIS testing, system enhancements, and data quality initiatives.
Respond to employee and manager inquiries through the HR and Payroll Helpdesk and shared inbox.
Support benefits administration, coverage inquiries, employment changes, leave and medical administration, onboarding, orientation, and terminations.
Provide information regarding HR policies, procedures, benefits, leave entitlements, and employment-related processes within established guidelines, escalating more complex matters when required.
Collaborate with HR colleagues and internal stakeholders to support effective, consistent, and timely HR service delivery.
Support service excellence and continuous improvement by identifying recurring challenges and inefficiencies and recommending process improvements and automation opportunities.
Partner with the Global People Technology and Data Team to improve the employee experience, operational efficiency, HR data accuracy, and service consistency.
Support HR Management with research, special projects, and other activities as required.
Qualifications
College diploma in Human Resources, Business Management, or a related field.
Bilingual in English and French.
Strong administrative, organizational, communication, and customer service skills.
Strong attention to detail with the ability to prioritize and manage multiple tasks in a fast-paced environment.
Ability to exercise tact, discretion, and sound judgment when handling confidential or sensitive information.
Foundational Excel skills, including the ability to work with basic Pivot Tables and VLOOKUP.
Comfort working with Microsoft Office, Outlook, electronic filing systems, and corporate drives.
Ability to work independently while actively collaborating with colleagues in a virtual team environment.
Willingness to ask questions, seek feedback, learn new processes, and contribute ideas for continuous improvement.
Additional Requirements
Previous HR experience is not required. New graduates and candidates with relevant co-op experience are encouraged to apply.
Knowledge of HRIS systems, including SAP or SAP GUI, is considered an asset.
Experience with SharePoint or SharePoint automation is considered an asset.
Ability to identify straightforward issues, apply established policies and processes, and escalate more complex situations when appropriate.
