Every week I spend far too much time copying data out of Microsoft Forms, combing through emails and their attachments, and then pasting everything into Excel, SharePoint, and finally Power BI so our dashboards stay up-to-date. I’m ready to hand that work to a set of reliable, well-documented flows.
Here’s what I need built:
• A series of Power Automate (or comparable) workflows that watch three sources simultaneously:
– New Microsoft Forms responses or items added to SharePoint lists
– Incoming emails—plus any attached Excel, CSV, or PDF files—in Outlook
– Activity or data drops from Teams, Outlook, or Dynamics 365
• Each flow should cleanse and normalise the data, then:
– Append or overwrite rows in one or more master Excel workbooks stored in OneDrive/SharePoint
– Push the same data to connected SharePoint lists for team visibility
– Trigger an automatic refresh so our Power BI dashboards reflect the new information without manual intervention
• Error handling and notification: if a file is malformed or a mapping fails, I want an email (or Teams message) that clearly states what went wrong and which record needs attention.
• Lightweight documentation: a simple diagram of each flow, the trigger conditions, key actions, and where credentials or connections are stored so I can maintain it later.
Acceptance criteria
1. A test submission from each source populates the correct Excel table, updates the corresponding SharePoint list, and refreshes the designated Power BI dataset within five minutes.
2. All connections use service accounts or connection references that can be re-authorised without editing the flow steps.
3. Error notifications arrive within two minutes of any failure, showing the run history link for quick troubleshooting.
If you’ve built multi-source Microsoft 365 automations before—using Power Automate, Logic Apps, Graph API, or similar—let’s talk.
