Automate Internal Operations - 21/09/2026 14:04 EDT

We are a refrigerated freight brokerage looking for an experienced automation developer to integrate Tai TMS with Zapier, Microsoft 365/Outlook, and AI.

The goal is to automate our email-based appointment scheduling process while keeping dispatchers in control of routing and logistical decisions. Tai will remain the primary operating interface.

**Project Deliverables:**

* Integrate Tai TMS with Zapier and Microsoft 365/Outlook
* Trigger appointment requests based on dispatcher-entered appointment times in Tai
* Automatically send and monitor appointment-request emails
* Use AI to interpret receiver responses, appointment times, and confirmation numbers
* Automatically handle responses within predefined scheduling tolerances
* Route exceptions back to dispatchers for human decisions
* Write confirmed appointments and confirmation numbers back to the correct stop in Tai
* Support multi-stop appointment workflows
* Prevent duplicate requests and maintain basic workflow/error logging
* Test, document, and hand off the completed automation

**Phase 1 Acceptance Criteria:**

Phase 1 will be considered complete when the system can successfully demonstrate an end-to-end appointment workflow on test shipments:

* Dispatcher enters a requested appointment time for a specific stop in Tai
* Automation correctly identifies the shipment and specific stop
* Appointment request is automatically sent through Microsoft 365/Outlook with the correct shipment information
* Receiver email response is automatically matched to the correct shipment and stop
* AI accurately extracts the appointment date/time and confirmation number when provided
* Appointment offers within ±60 minutes of the dispatcher-requested time can be handled automatically
* Offers outside the ±60-minute tolerance are routed to the dispatcher for approval rather than automatically accepted
* Ambiguous, missing, or unrecognized responses are escalated for human review
* Confirmed appointment time and confirmation/reference information are written back to the correct Tai shipment/stop
* Multi-stop shipments can progress through the appointment workflow without confusing stops or email threads
* Duplicate appointment requests and duplicate processing are prevented
* Failed automations are logged and surfaced rather than silently failing
* The completed workflow is tested successfully using representative multi-stop refrigerated shipments
* All Zapier workflows, integrations, documentation, and configuration are handed over to us with full ownership and administrative access

The system should be designed so it can later expand into additional freight automation, including after-hours operations and payment/lumper workflows.

Experience with APIs, webhooks, Zapier, Microsoft 365, AI automation, and system integrations is preferred. Transportation/logistics or TMS experience is a plus.
