I need an end-to-end automation that grabs each new inquiry coming from the A Place for Mom lead feed, fires a response call in under three seconds, and then immediately bridges the call to our sales line as soon as the prospect picks up.
If the prospect doesn’t answer, the workflow must drop them into a follow-up sequence that alternates voice drops and SMS messages. Timing, content, and escalation steps should be easy for me to edit later, but the default cadence should feel personal and persistent without sounding robotic.
Because I do not yet have a CRM, part of the project is selecting or deploying a lightweight system that will house every lead, show the full call/SMS history, and let my team update status or trigger manual outreach when needed. A web-based dashboard with basic tagging, pipeline stages, and simple reporting is enough for now, provided it scales if we add email or additional lead sources later.
Deliverables
• Real-time listener that captures A Place for Mom leads and launches the callback in ≤3 seconds
• Call routing logic that transfers live calls to a designated number or hunt group
• Editable call + SMS nurture sequence for unanswered leads, with opt-out handling
• New CRM instance (cloud-based) integrated with the automation, pre-loaded with custom fields that mirror the aggregator feed
• Clear documentation so I can tweak messaging, timing, and user permissions without coding
Acceptance criteria: 95 % of leads must receive the initial outbound ring in three seconds or less; connection transfer must succeed on at least 98 % of answered calls; every touchpoint must be logged automatically inside the CRM.
