Administrative Support

Administrative Assistant ; We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.
Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.
The tasks they perform vary greatly depending on who they assist; when working for individuals, tasks may be personal in nature, such as running errands and fulfilling tasks as they are assigned.
Administrative assistants also have secretarial duties, such as accounting, data entry, billing, inventory, record-keeping, correspondence, and sales, so strong typing skills (including 10-key) and familiarity with Microsoft Office programs are very important.
To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate.
They should always be prepared and responsive, willing to meet each challenge directly.
Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication.
Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others.
Administrative Assistant Responsibilities: >Answer telephones and direct the caller to appropriate associate; transfer caller to voice mailbox when associate is unavailable; takes and retrieves messages. >Provide callers with information such as company address, directions to company, fax numbers, company website and other related information Greets and directs visitors to the company; manages reception area to maintain a professional image. >Receive, sort and forward incoming mail Coordinates the pick-up and delivery of all mail services (FedEx, UPS, etc.) >Serve as point person for organizing all large mailings. >Assist in the ordering, receiving, stocking and distribution of office supplies. >Coordinate the repairs and maintenance of office equipment, including copier, fax machines, computers, printers, etc. >Manage conference room reservations and organize all aspects for meetings. >Type correspondence and reports; edit and update various spreadsheets. >Maintain confidential records and files. >Perform other related duties as required.
Administrative Assistant Requirements: *High School diploma or GED *Associate’s Degree in related field. *Prior administrative experience. *Excellent computer skills, especially typing. *Attention to detail. *Multilingual may be preferred or required. *Desire to be proactive and create a positive experience for others. *Ability to work independently or as a team player. *Knowledge of general bookkeeping, accounting and/or Human Resources skills may be required. *Attention to detail and a high level of accuracy and confidentiality. *Ability to maintain a professional appearance and manner.
